FileMaker Pro Tips & Shortcuts
Creating Records
Ctrl-N to create a New Record.
Tell us who you are! Hit the “Timestamp” button before you start making notes.
Finding Records
Ctrl-F to Find Ctrl-J to Find All Records You can search in any field.
e.g. to find all computers that are NOT marked as Picked Up: 1. Ctrl-F to find 2. Check the Picked Up box 3. All the records marked as “Picked Up” will be found. 4. From the Records menu, choose Show Omitted. This will show you all the other records that did not meet the criteria.
Search by date: In date field (currently unlabeled!), type a specific date. Date format must be m/d/yyyy. (slashes between, no zeros, the whole year!) You can also search by before or after a certain date: - to find all records after Feb 9th of this year, type >2/9/2007 in the date field. - to find all records before Feb 21st, type <2/21/2007 in the date field.
Once in the Find view, you can also see more search options by clicking on the Symbols menu.
Useful Searches: - Picked Up (or not) - Specific user - Computers assigned to you - Job # - That pesky piece of malware that you know you saw on a previous computer, and you remember you wrote it down in your notes, but you can’t remember how you removed it last time (but since you take excellent notes, the solution is already written down!)
Searching on Multiple Criteria is a bit trickier.
Sorting Records
By default, FileMaker puts records in the order in which they were created.
Ctrl-S to Sort Move the Fields (by which you want to sort) over to the right-hand column. You may then rearrange them by dragging them up or down in the list.
Useful Sorts: - Job Number - Date - Username/Last Name
You can also sort a subset of Found Records. Let’s say you searched for all records assigned to you. You can then sort that set of records by Date, Job #, etc.

Records menu > Omit Record Ctrl-M does the same thing
